Job Description:

Job Title:         Administrative Assistant

Salary Scale:     CU 8

Location:         Mukono

Reports to:      Director /Admissions & Students Records

Division:           Academic Affairs

Purpose of the Job:

Responsible for ensuring the in-flow of work to the Academic Central front desk is properly routed in a timely manner and to the appropriate office. Also ensures that applications are properly received and processed and other service requests that are handled at the front desk are resolved.

Main duties and Responsibilities:

  1. Coordinate front desk activities of the academic office in areas of application, admissions, registration right through to graduation and issuing of transcripts.
  2. Answer incoming telephone calls and relay messages in a timely manner.
  3. Guide students, parents and clients on which programmes are offered by the university and application procedures.
  4. Assist the admission counselor in issuing out students’ admission letters both national and international students and confirm admitted students.
  5. Assist the administrator in charge of transcripts in issuing and certification of transcripts.
  6. Answer any correspondences about admissions received by telephone and e-mail.
  7. Provide support during peak periods to other offices in the division.
  8. Participate in exhibition activities.
  9. Ensure general maintenance and cleanliness of the reception area.
  10. Perform any other official duties assigned by the Supervisor.  


Preferred Skills:

Qualifications and experience:

  1. A good Bachelor’s degree in a Management related discipline e.g. Public Administration, Social Work and Social Administration etc.
  2. At least two (2) years of experience working with clients and team members in a similar context.
  3. Ability to work with an Academic Management Database Systems will be an added advantage.
  4. Committed Christian of high integrity and able to maintain strict confidentiality.
  1. Excellent interpersonal and communication skills.
  2. Strong internal and external customer relations skills.
  3. Ability to work under pressure and to meet strict deadlines.
  4. Ability to work independently on own initiative.
  5. Ability to work extended hours during peak periods.
  6. Excellent IT and computer skills.
