Job Description:

Job Title:         Admissions Counselor

Salary Scale:     CU 8

Location:         Mukono

Reports to:      Director Admissions & Students Records

Division:           Academic Affairs

Purpose of the Job:

Responsible for ensuring the timely processing of applications and resolution of admission related requests presented by applicants to the directorate with a special focus on international students and students at regional campuses.

 

Main duties and Responsibilities:

  1. Work closely with regional and international admission link offices to ensure that:
    1. Admission materials are kept updated and are available.
    2. Adverts are drafted to correct specifications and distributed.
    3. Support information sessions, exhibitions and other events.
    4. Payments for applications sold are processed in a timely manner
  2. Follow up all international applications to answer phone calls, address challenges and plan for arrival and registration.
  3. Work with supervisor and regional registrars to ensure that all international students admitted meet statutory requirements for admissions both in Uganda and their home country.
  4. Guide applicants to select courses and ensure that they meet the minimum requirements for the courses of their choices.
  5. Assist the Director of admissions to make short-lists of students and their respective choice of programmes.
  6. Prepare for admission board meetings and keep records of those meetings.
  7. Work with the Data Coordinator to process students’ admission letters for both national and international students
  8. Cross check the authenticity of the results presented by applicants.
  9. Respond in a timely manner to correspondences about admission received by telephone, email and applicants who come to the office.
  10. Assist with preparation of all admission promotional documents like brochures, application guides, adverts.
  11. Assist in drafting of the admissions schedule for each academic year.
  12.  Confirm admissions.
  13. Carry out regular and periodic admissions analysis.
  14. Help the Communications and Marketing Office to prepare for University exhibitions.
  15. Perform any other official duties assigned by the Supervisor.  

 

Preferred Skills:

Qualifications and experience:

  1. A good Bachelor’s degree in a Management related discipline e.g. Public Administration, Social Work and Social Administration etc.
  2. At least two (2) years of experience working with clients and team members in a similar context.
  3. Ability to work with an Academic Management Database Systems will be an added advantage.
  4. Committed Christian of high integrity and able to maintain strict confidentiality.
  5. Sound knowledge of admission requirements and policies set by the National Council of Higher Education and other equivalent regional bodies.
  1. Excellent interpersonal and communication skills.
  2. Strong internal and external customer relations skills.
  3. Ability to work under pressure and to meet strict deadlines.
  4. Ability to work independently on own initiative.
  5. Ability to work extended hours during peak periods.
  6. Excellent IT and computer skills.
